Overview of Open Association Management System

Open Association Management System (OpenAms)

Open Association Management System (OpenAms) is a web based application design for the purpose of assisting an Organization to manage its members information and maintain the information flow between the organization and members. With the wide access of internet, OpenAms allow the members from different location to share information and communicate with the Organization Management with a few clicks.

OpenAms will be design to accommodate different languages in mind, thus it will be able to support in 2 major international languages which are English and Chinese(Traditional and Simplified). With a simple browser click, OpenAms will be easily toggled between different languages.

In order to assist the organization to manage the member information, OpenAms has been divided into following functional modules
1) User Access Module
2) Membership Module
3) Organization Setup Module
4) Committee Setup Module
5) Event Management Module
6) Alert and Notification Module
7) Report Module

User Access Module
User Access Module allowed the organization to define different user roles, and each role will be given different level of access right. For every user created in OpenAms, it will be given a unique login and password and must be tied to a defined user role.

Membership Module
Membership Module covers the following functions
a) Membership Application - The public version of Membership Registration will be open to the public for application as a member of the organization.
b) Membership Assurance - For all the membership application that received from the website will be verified and processed here.
c) Membership Registration - This allow the management clerk to register a membership information into OpenAms database.
d) Membership Fee Management - This provide the facility for the management to keep track and process the member fee.

Organization Setup Module
Organization Setup Module allow the management to define the organization structure that covers from the headquarter to the branches that attached to.

Committee Setup Module
Committee Setup Module allow the management to define all sort of committees and setting up different kinds of committee post. A committee can be defined as organization level or events level.

Event Management Module
Event Management Module allow the management to define all sort of events and setup all the necessary event information.

Alert and Notification Module
Alert and Notification Module allow the management to define the alert and setup notification. Example, triggering the meeting/conference alert, sending out birthday greeting to member.

Report Module
Report Module provides the management with different kind of reports serving all sort of management purposes.

Utilities Module
Utilities Module consists of a few features
a) xml export - to export the membership information into xml format. Serving the purpose of membership data backup.
b) xml import - to import the membership information from xml file. Serving the purpose of restoring membership information.
c) csv export - to export the membership information into csv format. This will allow the management to manipulate the membership data in Micrsoft -Excel.
